How to find and export your ShipHero data

Last checked:

Short answer

ShipHero's Export All Rows option downloads every record that matches your filters as a CSV file, not just the rows on screen. For bulk or historical data, ShipHero's developer documentation points to Data Exports, which deliver Parquet files grouped into modules such as orders, shipments and inventory. ShipHero's terms say they give it no ownership rights in your Customer Data and, if all fees are paid, you have 30 days after termination or expiration to ask for access to your data or copies of it.

You don't need to export anything to get started

To find out whether your records may be worth a closer look, your team size and years in business are enough. This guide is for seeing what ShipHero holds and keeping a copy, especially before you change systems or cancel. How much you hold in ShipHero

ShipHero's help center doesn't describe a screen that totals your records or shows your oldest one. A practical way to size your history is to export a report with Export All Rows and count the rows. ShipHero suggests date ranges of "one year increments or less", so export a year at a time and add up the counts.

How to export ShipHero reports

  1. Open the report and apply your filters, such as warehouse or date range.
  2. Find the export options "in the top right corner of the page."
  3. Choose Export All Rows. It "Captures every record matching your active filters, regardless of how many rows are displayed on screen." Don't refresh the page while it works.

The CSV and PDF options export only the page you're viewing. The help article doesn't state a row limit. If the buttons are missing, an administrator can check the Restrict Exports permission under My Account > Roles and Permissions.

Bulk exports and the API

ShipHero's developer documentation says: "Use GraphQL for live, targeted lookups, and Data Exports for bulk or historical data."

Data Exports deliver Parquet files, grouped into modules such as orders, shipments, returns, products and inventory. The documentation says every customer gets weekly full exports and delta exports every six hours "at no additional cost", with a paid tier for fresher data. A Developer User or a user with Data Exports enabled fetches the files through the API. "Signed URLs expire after 24 hours." The documentation doesn't say how far back a full export goes.

ShipHero's help center still calls the older Recurring Data Exports "a paid add-on", but ShipHero's developer documentation says they were deprecated on October 2, 2026.

The GraphQL API uses an access token that "expires every 28 days", with a limit of 7,000 requests in any five minutes. To give a developer access without sharing a login, use +Add Third-Party Developer.

How each client's data is kept separate

In a ShipHero 3PL account, each client has its own customer account, and "Most of this work happens inside the individual customer account." "Admin 3PL users can switch into every customer account"; other 3PL users reach only the accounts assigned to them. The documentation doesn't say which client records a 3PL's Data Exports contain.

Section 19 of ShipHero's terms makes the 3PL's designated representative the owner of every client ("Brand") account. If a 3PL doesn't answer a client's data request within 14 days, ShipHero "shall have the right but not the obligation" to provide the data to the client.

What ShipHero's terms say about your data

ShipHero's online Terms of Service (last updated October 9, 2026) say:

  • Ownership: "The Agreement does not grant us any ownership rights to the Materials or Customer Data."
  • Aggregated data: ShipHero may use Customer Data "gathered in an aggregate and anonymous manner" and owns that aggregate data. It may use and publish it, "provided that Customer Data contained in such aggregate data has been reasonably de-identified."
  • After termination: if all fees are paid and you ask within 30 days, ShipHero will give you temporary access to retrieve, or copies of, "all Customer Data and Materials then in ShipHero's possession or control." After 30 days, it "will have no obligation to maintain or provide You the Customer Data or Materials" and may delete them.

If they conflict, a SaaS Subscription Agreement or the Master Services Agreement "shall take precedence over these Terms of Service." Check your own agreement first.

Before you share anything from ShipHero

If you run a 3PL, much of what ShipHero holds is your clients' order and product data. Client data is generally treated as the client's. See the 3PL and contract logistics page and the warehousing and fulfillment page for which records are usually the business's own and which are held for others.

Questions about ShipHero data

What happens to my ShipHero data if I cancel?

Under the online terms, you have 30 days after termination to ask for your data, if all fees are paid. After that, ShipHero may delete it. Export what you need before your contract ends.

Do I need to sort out my records first?

No. Start by filling in our short form with your team size and years in business. Rough numbers are fine. If you are about to cancel or switch software, export your records first: see Before you cancel or switch logistics software.
