Short answer
In Extensiv 3PL Warehouse Manager, you can export the Find Orders and Find Receipts grids to Excel or CSV, and classic reports such as the Transaction Register to CSV. Through the REST API, you can create keys limited to one customer. We couldn't find Extensiv's subscription terms on its website, and Descartes now owns Extensiv, so it isn't confirmed which terms govern your account.

You don't need to export anything to get started
To find out whether your records may be worth a closer look, your team size and years in business are enough. This guide is for seeing what Extensiv holds and keeping a copy, especially before you change systems or cancel. How much you hold in Extensiv
Extensiv's help center doesn't describe a screen that totals your records or shows your oldest one. The Transaction Register, which Extensiv calls "the most comprehensive warehouse report", is "a summary of all activity by customer for a specific date range." Run it, or export the Find Orders grid, with the widest date range and count the rows.
Extensiv "does not proactively remove personally identifiable information (PII)." In most cases, personal details can be overwritten but not deleted.
How to export the Find Orders and Find Receipts grids
- Go to Orders > Find Orders or Receipts > Find Receipts.
- Search with the filters you need, such as Date Range on Find Orders or Date Search on Find Receipts. Find Receipts also lets you search by Customer.
- Click Options and select one of the Export options.
You can "export all data displayed in the grid to an Excel or CSV file," so choose your columns first under Options > Columns. Each page needs its own permission on your role, such as "Orders Module > Manage Orders > Find Orders." The help articles don't state a row limit.
How to export classic reports
- Go to Reports and pick a group, for example Reports > Transactions.
- Choose the report, then the customers, warehouse and, where offered, the dates.
- Click Run Report.
- From the Select a Format drop-down menu, choose CSV (comma delimited) and click Export.
Each report group needs its own permission, such as "Reports > Transactions", assigned by an administrative user on the Manage Roles page.
Through the REST API
The 3PL Warehouse Manager API "provides data on billing, customers, inventory, orders, and more." To create keys:
- Open 3PL Warehouse Manager, click Support in the upper-right corner and select Manage Credentials.
- Click Create New Credential, select External REST/Developer and click Continue.
- Enter the Customer ID and the other details, and check Enabled.
- Move the roles you need, such as OrderView, to Selected Roles, then click Save to generate the Client ID and Client Secret.
How each client's data is kept separate
"Customer users are the customers for whom you receive and ship," and each is linked to one or more customers. Reports let you choose which customers to include. The help pages don't say exactly what a customer user can see.
API keys are scoped too. The Customer ID "Specifies which customer this set of keys is used for." All Customer Credential "provides access to all of your customers," which Extensiv says carries "significant risk."
What the published terms say about your data
We couldn't find Extensiv's subscription terms on its website. Its Terms of Use (last updated May 23, 2022) cover its websites. Its Privacy Policy (last updated July 25, 2022) doesn't apply to personal information processed "in the course of performing services for our customers." Neither covers ownership of your warehouse data, aggregated data, or what happens after you cancel.
Descartes announced on September 1, 2026 that it had bought Extensiv, according to DC Velocity. None of the Descartes terms we read names Extensiv, so it isn't confirmed which terms govern Extensiv customers. Descartes' Master Terms (version DSG26.0), which apply only to order forms that incorporate them, say "Descartes does not claim any title or ownership rights over any Customer Data." We found no clause on aggregated or de-identified data in the parts we could read.
Check your own agreement, and export what you need before your contract ends.
Before you share anything from Extensiv
For a 3PL, most orders, receipts and inventory in 3PL Warehouse Manager belong to your customers, and ship-to contacts hold personal details. Client data is generally treated as the client's. See the 3PL and contract logistics page and the warehousing and fulfillment page for which records are usually the business's own and which are held for others.
Questions about Extensiv data
Has the Descartes purchase changed my contract?
We don't know. DC Velocity's report on the deal doesn't mention customer contracts. Check your agreement.
Do I need to sort out my records first?
No. Start by filling in our short form with your team size and years in business. Rough numbers are fine. If you are about to cancel or switch software, export your records first: see Before you cancel or switch logistics software.
