What this policy covers
This policy explains how we handle personal information about:
- people who visit insightlanes.com
- people who use our contact form
- people we contact by email about our service
What we collect and where it comes from
From our contact form: your name, company name, work email address, your phone number if you give it, and your answers about your business (business type, years in business, team size, the system that holds most of your records and any comment you add). We also record that you ticked the box agreeing to the introduction, the wording you agreed to, the time and the page. If the page address included campaign tags (for example "utm_source"), we store those tags with your submission so we know which email or page led you to us. To keep out spam, we also note how quickly the form was sent and whether it looked automated. We use your IP address only in a scrambled form to limit repeat submissions, and we don't store it.
From public sources: business contact details such as name, business email address, company name, business address and registration details, taken from public business registers such as the US Federal Motor Carrier Safety Administration's Company Census, U.S. Customs and Border Protection's list of permitted customs brokers and the UK's Companies House, and from public company websites. We check that email addresses can receive mail before we use them.
From your emails to us: what you write when you reply to us.
When you visit the website: our hosting providers process technical information such as your IP address and browser type to deliver the site and protect it from abuse. We also use cookieless website analytics to count visits and see which pages and campaigns bring people to the site. It does not use cookies, does not identify you and does not follow you across other websites. If your browser sends a Do Not Track signal, your visit is not counted. We do not use advertising cookies or tracking pixels on the website, and we do not track opens or clicks in our emails.
How we use it, and our legal basis
| What we do | Legal basis (UK GDPR) |

Who we share it with
The data licensing firm we introduce you to. When you ask us to introduce you, by submitting our form or replying to our email, and it looks like a fit, we share your name, email address, company, your phone number if you gave it, and a short description of your company (your form answers, or what you told us by email) with a firm that represents business owners in licensing their data. We email you the firm's name when we make the introduction. We never share your company's records. Once the firm has your details, its own privacy policy applies to them. If you sign with that firm, it pays us a referral fee. If you change your mind, tell us and we will ask the firm to stop contacting you and delete your details.
Service providers who work for us. These provide website hosting, website analytics, server and database hosting, email delivery, mailbox hosting, and email sending and verification. They may only use the information to provide their service to us.
Where the law requires it, for example to comply with a legal request.
We do not sell or rent your personal information.
International transfers
We are based in the UK, and some of our service providers process information in the United States and other countries. Where this happens, we rely on UK adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework, or on standard contractual clauses with the UK Addendum. You can ask us for details of these safeguards.
The data licensing firm we introduce you to is in the United States, so when we introduce you, your details go there.
How long we keep it
- Business contact details from public sources: up to 12 months after our last email to you, unless you reply or ask to be introduced.
- If you opt out: we keep only your email address on our suppression list, for as long as we send emails, so that we never contact you again.
- Form submissions and introduction records: up to 6 years after the introduction, for our referral fee and accounting records.
- Form submissions that don't lead to an introduction: up to 12 months after we reply.
- Your emails to us: up to 12 months after our last exchange, or 6 years if they led to an introduction.
- Server logs: kept by our hosting providers for a short period.
- Website analytics: visit statistics that do not identify you, kept for as long as we run the site.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of your personal information
- correct it
- delete it
- restrict how we use it
- transfer it to you or another organization
- stop using it, including for email marketing, which we will always stop
We honor these requests whichever country you live in, and we reply within one month.
You can also complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the chance to resolve your concern first.
Stopping our emails
Reply to any of our emails asking us to stop, or use the opt-out in the email. We act on opt-outs promptly, and always within 10 business days.
Do Not Track
Our website analytics respect Do Not Track: if your browser sends the signal, your visit is not counted. We do not track visitors across websites, and we do not allow third parties to do so on our site.
Children
Our service is for businesses. We do not knowingly collect personal information from children.
Security
We limit access to personal information to people who need it, and our providers protect it with industry-standard security measures.
Changes to this policy
If we change this policy, we will update it on this page and change the "Last updated" date. If the changes are significant, we will tell people who have given us their details.
