Short answer
Tai TMS previews only the first 1,000 rows of a report on screen, but Export and Export to Excel download every row. Custom reports can also be published as CSV, Excel or JSON links that return the full result set. If the export buttons are missing, a TMS Admin can turn off the "Hide Export To Excel" setting. Tai's terms say you keep ownership of your content and can extract it with the tools in the service.

You don't need to export anything to get started
To find out whether your records may be worth a closer look, your team size and years in business are enough. This guide is for seeing what Tai holds and keeping a copy, especially before you change systems or cancel. How much you hold in Tai TMS
Tai's report preview tells you the total. When a report returns more than 1,000 rows, the page shows an alert such as "Showing the first 1,000 of 6,752 rows. Use Export to download the full report." Run a report with the widest date range to see how many rows your history holds.
How to export full reports
- Open the Reports tab on the Back Office page.
- Choose the report and set its parameters.
- Either click Export to Excel on the parameters page to download the complete report straight away, or view the results and click Export.
Both downloads include every row the report returns, not just the 1,000 shown on screen. For Custom Reports, Tai asks which version you want when you export.
How to publish a custom report as a link
- Open Custom Reports and find the report.
- Click the Copy Link to Clipboard icon and choose the export type.
- Click Copy to Clipboard.
Tai says the CSV, Excel and JSON links "return the complete result set." To load a link into Excel, go to Data > Get Data > From Other Sources > From Web, enter the link, and choose Anonymous when asked for authentication. Because the connection uses no sign-in, keep these links private. For automated pulls, Tai recommends CSV or JSON, because a link to the HTML view only returns the 1,000-row preview.
If the export buttons are missing
Tai has a staff setting called Hide Export To Excel. When it is checked for a user, that user can't export to Excel on about 30 screens, including Custom Reports, Shipment Domestic Search, Invoices Search, Bills Search and the Profitability Report. "TMS Admin access is required in order to turn the feature on / off."
How to create a Tai API key
A user with TMS Site Admin permissions can create a key:
- Go to LSP > Public Authentication Keys.
- Click Add Public Authentication Key.
- Select an organization or customer, then a customer staff or broker staff member.
- Save. The key appears in the Authentication Key column.
A broker key can only reach the data its linked staff profile is allowed to see. For example, accounting data needs the matching accounting permissions on that profile.
What Tai's terms say about your data
Tai's online terms and conditions, which carry no date, say:
- Ownership: "You retain ownership of your content."
- Extracting data: "You will be allowed to extract data or content using tools available within the Services." If you need extra help, the Tai team will assist "for a predetermined prepaid additional fee."
- After termination: if all payments have been made, Tai allows access to your data and content for backup or archival purposes for a limited time that Tai reasonably decides.
- Aggregated data: Tai may use your and other users' non-identifiable, aggregated data to improve the Services. You also give Tai permission to combine your business data with others' in a way that doesn't identify you, "to share or publish summary results relating to research data and to distribute or license such data to third parties."
Your signed agreement may differ from the online version. Check your own agreement first.

Broker records carry shippers' details and pricing. See the freight brokers and agents page for which records are usually the business's own and which are held for others.
Questions about Tai TMS data
Why does my report stop at 1,000 rows?
That's only the on-screen preview. Export or Export to Excel downloads every row.
Can I connect Tai reports to Excel or Power BI?
Yes. Publish a custom report as a CSV, Excel or JSON link and load it with Excel's From Web option or Power BI's Web data source.
What happens to my Tai data if I cancel?
Under the online terms, Tai allows access for backup or archival purposes for a limited time it decides, if all payments have been made. Export what you need before you give notice.
Do I need to sort out my records first?
No. Start by filling in our short form with your team size and years in business. Rough numbers are fine. If you are about to cancel or switch software, export your records first: see Before you cancel or switch logistics software.
