How to find and export your AscendTMS data

Last checked:

Short answer

AscendTMS exports load data from Search Loads and Load Reports, and both can include archived and canceled loads. The AR/AP Report exports to Excel, and Doc Management can export a report of your search results; the help center doesn't describe downloading several documents at once. AscendTMS's terms say a canceled account isn't deleted but reverts to Basic status.

You don't need to export anything to get started

To find out whether your records may be worth a closer look, your team size and years in business are enough. This guide is for seeing what AscendTMS holds and keeping a copy, especially before you change systems or cancel. How much you hold in AscendTMS

Load Reports can cover live, archived and canceled loads, with beginning and end dates. Run it with every load status selected and the widest date range, then export it and count the rows. AscendTMS's help center doesn't describe a screen that totals your records.

How to export your loads

From Search Loads

Search Loads covers "active, canceled, and archived loads created by you or anyone in your operations team." Filter by origin or destination state, beginning or end date, branch or load status, then choose one of three exports:

  • Export Loads Summary to Excel: a financial summary spreadsheet.
  • Export Load Data: all load data shown in the results.
  • Export load data with charge types as columns: all load data, with a column for each line item.

From Load Reports

Load Reports lets you build and save reports on live, archived and canceled loads, with filters for dates, branches, user assignments, user roles and load status. You can choose the Standard layout, the Extended layout (charge types in columns) or your own column layout.

  • Export Loads Summary to Excel downloads a .csv file with revenue, expense and profit.
  • Export Report, the blue button at the bottom of the page, exports the entire report.

To save a report for reuse, enter your criteria, select Save Report, name it and choose who can use it. Saving needs the permission "Allow users to save, edit, and delete saved reports in reporting."

How to export accounts and documents

  • AR/AP Report: lists invoices marked as sent and bills marked as received that aren't yet paid in full. Use the export link to download it to Excel.
  • Doc Management: search your uploaded documents by what they're attached to, document type, upload or modified date, and status. Export Report exports the results of your search. You download a document from its preview (Download Doc); the help article doesn't describe downloading several at once. Email Doc(s) sends several together. Administrators can restrict exporting under Permissions > Doc Management.

The help articles for the customer and carrier lists don't describe an export.

What AscendTMS's terms say

AscendTMS is operated by InMotion Global, Inc. Its online terms of use, which carry no date, say this about canceling:

  • The account keeps working until the end of the current billing cycle.
  • "The account will not be deleted, but will revert to the Basic account status," and access to Premium services stops.
  • If the account has more than two users, only the first two users registered can log in to the Basic account.

The terms we read don't address who owns the data you enter, exporting it, or aggregated data; they refer to a separate privacy policy. Check your own agreement.

Before you share anything from AscendTMS

AscendTMS holds your customers' and carriers' details and the revenue and cost of each load. See the trucking and haulage page and the freight brokers and agents page for which records are usually the business's own and which are held for others.

Questions about AscendTMS data

Can I export archived loads?

Yes. Search Loads and Load Reports both cover archived and canceled loads as well as active ones.

Can I download all my documents at once?

The help center describes downloading a document from its preview, emailing several together, and exporting a report of your search results. It doesn't describe downloading several files at once.

What happens to my AscendTMS account if I cancel?

Under the terms, the account isn't deleted but reverts to Basic status at the end of the billing cycle, and only the first two registered users keep access.

Do I need to sort out my records first?

No. Start by filling in our short form with your team size and years in business. Rough numbers are fine. If you are about to cancel or switch software, export your records first: see Before you cancel or switch logistics software.
