Short answer
Motive lets you export reports such as Hours Worked, ELD Output File and Spend Summary Detail from the Fleet Dashboard as PDF or CSV, and Fleet Admins can create an API key under Admin > Developers. Motive's terms say you own your Customer Data. They also restrict using or distributing "Motive Output", which includes reports made available through the service, outside Motive except for regulatory compliance or with Motive's express consent. The terms also say Motive has no obligation to keep your data after termination.

You don't need to export anything to get started
To find out whether your records may be worth a closer look, your team size and years in business are enough. This guide is for seeing what Motive holds and keeping a copy, especially before you change systems or cancel. How much you hold in Motive
We couldn't find a Motive help article that totals your records or lists how long each type of data is kept. A practical way to size your history is to open each report, set the widest filters available, and count the rows in the CSV export.
How to export your Motive reports
- Log in to the Motive Fleet Dashboard and click Reports.
- Open the report, for example Compliance > ELD Output File or Cards > Spend Summary Detail.
- Apply the filters you need.
- Click Export as PDF or Export as CSV. On the Drivers Workload report, the options are in the three-dot menu.
You can also click Schedule on reports such as Hours Worked, Timecard Details and the driver training reports to have them emailed automatically.
Motive's help article names Fleet Admins and managers as able to view and download the ELD Output File, and Fleet Admins for the Spend Summary Detail. It also notes one gap: Motive does not currently support exporting a report that includes safety violations for unidentified trips filtered by a specific truck, and suggests asking your Account Manager for a custom report.
How to create a Motive API key
For larger exports, a Fleet Admin can create an API key:
- Log in to the Fleet Dashboard and click Admin in the left-hand menu.
- Click Developers.
- Click Create API Key, enter a name for the key and click Save.
Motive lets you switch Test Mode on or off for a key at any time. With Test Mode on, third parties holding your key can't change your data.
What Motive's terms say about your data
Motive's online Terms of Service (effective July 7, 2025) say:
- Ownership: "Customer shall own and reserve all right, title, and interest in and to the Customer Data."
- Motive's rights: you give Motive a "worldwide, irrevocable, perpetual, non-exclusive" right to use Customer Data to provide, analyze, support, operate and improve the Services and to develop new products and services. The terms also say "Motive does not sell any Customer Data to third parties."
- Motive Data: Motive owns "Motive Data", which includes usage and performance data, statistics, aggregate data and other de-identified data derived from Customer Data that can't be attributed to a particular customer.
- Motive Output: customers may not "use, sell, copy, modify, create derivative works based on, publicly perform, publicly display, or distribute the Motive Output outside of the Services, except for regulatory compliance purposes or otherwise with Motive's express consent." The terms define Motive Output as "the Hardware Data and other information and reports to the extent made available to Customer through the Services."
- After termination: "Motive will have no obligation to maintain Customer Data and may delete any copies of Customer Data."
Reports you export from Motive may count as Motive Output under these terms. Before sharing exported reports with anyone outside your business, check your signed agreement or ask Motive for its consent. Your signed agreement may differ from the online version.
Before you share anything from Motive
Motive data is mostly about drivers and vehicles, so it is full of personal details. See the trucking and haulage page for which records are usually the business's own and which are held for others.
Questions about Motive data
What happens to my Motive data if I cancel?
Under the online terms, Motive has no obligation to keep your Customer Data after termination and may delete it. Export what you need before your contract ends.
Can I share reports I export from Motive?
Check first. Motive's terms restrict using or distributing Motive Output, which includes reports made available through the service, outside Motive except for regulatory compliance or with Motive's express consent.
Can driver files or camera footage be included?
Plan on leaving them out. In the US, drug and alcohol testing records can only be released with the driver's specific written consent (49 CFR 382.405), and driver-facing cameras have led to claims under Illinois biometric privacy law (BIPA).
Do I need to sort out my records first?
No. Start by filling in our short form with your team size and years in business. Rough numbers are fine. If you are about to cancel or switch software, export your records first: see Before you cancel or switch logistics software.
